Minutes of the Meeting

Call to Order: President Pete Gulliver called the quarterly public meeting of the Carolina Shores Property Owners Association to order at 7:00 P.M.

Board Members Present: Pete Gulliver, Bob Jones, Kerry Jarrell, Brent Horten, and John Manning. Absent: Al Franklin and Mike Riccitelli.

Board Member Reports: Pete Gulliver reported for Al Franklin that the new telephone directory should be out soon. He also reported that the advisory committee has been formed and will meet in the near future. This committee will be conducting a historical review of past Board resolutions for consistency and clarity.

Brent Horten gave a report on the pool deck and plaster work. The pool should be complete and ready to open by May 8th. The membership applauded Brent's efforts on the pool job.

Kerry Jarrell announced the accomplishments in the areas or finance and administration in the previous four months.

Closed the books for 2010, had them reviewed by a CPA firm and received a clean opinion.

In 2010 made $63,000 in contributions to the Reserve and Replacement Fund and still ended the year with a surplus of $5,527.

Conducted a successful reserve workshop and established priorities for facilities for 2011.

Updated computer hardware and server in the office.

Collected over 96% of member dues for 2011 and will file liens on delinquent accounts within the next month.

Re-staffed the business office to improve services to members.

Bob Jones reported on ACC matters. The Committee is working on a revision to the builder's package. Bob and Peter Kirkby, ACC chairman, are working on a new tree removal plan. Bob explained that requests for tree removal should come through the ACC then go through the Town of Carolina Shores.

John Manning reported that installation of irrigation for the area around the signs in the area of Country Club Drive and Carolina Shores Parkway has been completed. New handicapped parking signs and parking bumpers are being installed at the pool and at the clubhouse. New lights at the entrance to the pool area have also been installed. Some tree trimming will be done within the next month.

Pete reported for Mike Riccitelli that a new handicap access ramp will be built on the back side of the clubhouse. This project is to comply with fire marshal recommendations. Pete also reported that through the efforts of the reserve workshop and the Board, the pool projects were completed for approximately $50,000 less than estimated made by the Reserve Advisors.

Resident Comments:

Helen Morrison complained about the recent replacement of the office staff. She also objected to the lights around the pool area, and she felt that they were unnecessary.

Joyce Dunn commented that the annual election of board members provides an opportunity for change if the membership is dissatisfied with the current Board's action.

In response to questions, Kerry Jarrell explained the planning process for major projects. The projects completed this year include the pool deck, pool plaster surface, and installation of a kiddy fence in the pool area. A handicap access ramp and potential office renovation are in the planning process. The estimate for office area renovation is approximately $10,000.
